Creating recurring task templates

Plain tasks vs. recurring templates

  • A plain task always shows up every shift — no schedule, no template.
  • A recurring template generates task instances on a schedule you define: every N days, fixed weekdays, a fixed day of the month (shorter months are simply skipped), even/odd days, or specific dates.

Who a template's tasks are for

Same three scopes workers see on their side:

  • Crew — the whole team on that location.
  • Personal — one specific worker. A personal-scope task can't target "all locations" — you must pick specific location(s) for it.
  • Position — tied to a role (e.g. cashier).

Validation when creating a template

The form won't save if any of these are missing: checklist type, description, recurrence type, at least one location (unless it's position-scoped, in which case a target position is required instead), a start date for a daily-interval schedule, a valid day-of-month (1–31), a parity for even/odd, at least one weekday for a weekly schedule, or at least one date for a specific-dates schedule. An end date earlier than the start date is also rejected. If photo verification is enabled, an AI prompt is required — you can't turn on photo checking without describing what the photo should show.

Photo verification types

  • Freezer temperature panel — auto-approved only if the reading is at or below the configured threshold (commonly -14°C).
  • Charging indicator — auto-approved only if a charging indicator is visible.
  • Custom AI prompt — you describe what the photo needs to show; the AI approves or rejects against that description.

This is fully automated — there's no manual "approve" click on your side. If a task keeps getting rejected, check the task's stored rejection reason rather than assuming it's a bug; it usually points at exactly what the photo is missing.

Editing a single day without breaking the template

Just like shift patterns, once you hand-edit (or remove) one specific day's generated task instance, the system marks it protected and never regenerates or touches that specific day again — future template changes won't ripple into a day you've already adjusted by hand.

Archiving a template

You can't archive a template that's still active — pause it first, then archive. Trying to archive directly returns "Pause the recurring task before archiving it."
