Setting up and managing inventory

Two different things share the word "inventory"

  • Stock inventory — the real, countable stock system covered here: named inventories (e.g. "Freezer stock") bound to one or more locations, with items, quantities, and history.
  • Equipment attributes — a simple name/value list shown on a location's detail page (garage address, ice cream equipment info, etc.). This is just reference information, not something workers count stock against. If you're looking for stock counting and can't find it, make sure you're in the right place — it's under Inventory, not the location detail page's attribute panel.

Setting up a stock inventory

Create a named inventory and bind it to one or more locations. A few limits to know:

  • Maximum 10 active inventories per location. Exceeding it returns an error rather than silently failing.
  • Inventory names must be unique within a location — two inventories with the same name on the same point aren't allowed.
  • Only managers, admins, and location managers can create/edit inventories; location managers are restricted to their own location.

Deleting and clearing

An inventory must be empty before you can delete it — clear it first if it has items (clearing keeps a record in the item history before wiping the quantities, so nothing is lost from the audit trail).

Merging inventories across locations

If two locations track "the same kind" of inventory (matched by name) and you want to consolidate them, you can merge — but only if at most one of the selected inventories currently has items. This is a deliberate safety rail: merging two non-empty inventories at once could silently overwrite one location's counts with the other's, so the system simply won't let you do it in one step. Clear or transfer one down to empty first if you need to merge two active inventories.

What workers can do

Workers can view, add/edit items, and transfer stock between inventories — but only for the inventory tied to the location of their current active shift. If a worker says they can't see inventory at all, the first thing to check is whether they're actually clocked into a shift right now.
